Welcome to AncientFit, operated by AncientFit LLC ("AncientFit," "we," "our," or "us"). These Terms of Use ("Terms") govern your access to and use of the AncientFit website, applications, digital content, fitness and nutrition classes, merchandise purchasing options, community support programs, and all related services (collectively, the "Platform"). By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree, you must discontinue using the Platform immediately.

2.1 General Use

Most AncientFit services—such as browsing the website, purchasing T-shirts, booking fitness and nutrition classes, or registering for events—do not require the creation of a user account. You must be at least 18 years old to purchase fitness or nutrition classes, register for events, or otherwise engage in age-restricted activities on the Platform.

Note for minors: Users under 13 are not permitted to provide personal information. We comply with COPPA (Children's Online Privacy Protection Act).

2.2 Program-Restricted Account Registration

Creating an AncientFit account is only required for users seeking access to the following specialized programs:

AncientFit's Egyptian Community Cybersecurity Protection Program.
AncientFit's Egyptian Student Abuse Reporting and Immediate Consultation Program.
These programs are collectively referred to as the "Egyptian Community Programs."
Account creation for these programs is available only to users who wish to access these specific services. For all other activities, account registration is optional.

3. Account Registration Requirements

3.1 Email Provider Restrictions

To uphold AncientFit's high privacy standards, only the following email providers may be used to create an account:

The following email providers may NOT be used for account creation under any circumstance:

iCloud

Yahoo
AOL
Disposable or temporary email services
Email addresses containing suspicious characters or patterns

However, these providers may still be used without account creation for:

Booking fitness or nutrition classes
Purchasing T-shirts
Registering for events

3.2 Account Deletion

AncientFit follows a strict, privacy-focused data deletion protocol:

If a user does not log in for 90 consecutive days, the account is automatically deleted.
If a user loses or forgets their email, username, or password, AncientFit cannot recover the credentials, and the old account will be removed; the user must create a new account.

3.3 Security Measures

To protect the Platform and its users:

Cookies may be used during login, session activity, and timeout management.
AncientFit may collect IP addresses, device identifiers, and operating system information for cybersecurity, fraud detection, and legal compliance.
Attempts to use disposable emails, inspect website code, bypass security mechanisms, scrape data, or perform related malicious activity will result in the recording of device and IP information and may trigger legal action.
AncientFit reserves the right to pursue legal remedies for digital or physical threats, cybersecurity incidents, or abuse directed toward our platform or users.

4. Prohibited Conduct

Users must not:

Engage in cyberattacks, reverse engineering, scraping, or unauthorized code inspection
Impersonate others or falsify information
Interfere with website functionality or infrastructure
Upload or transmit harmful software
Harass or harm other users or instructors
Violate any local, state, federal, or international law

5. Fitness & Nutrition Classes

Participants must be 18 years or older.
Payments for classes are final; refunds are not guaranteed for missed or no-show sessions.
Classes may host between 1 and 5 trainees via Zoom or similar platforms.
Participants must maintain respectful behavior toward coaches and fellow trainees.
Instructors may refuse service to users who engage in disrespectful or disruptive conduct.
AncientFit classrooms emphasize Egyptian values of respect, discipline, and camaraderie, promoting honest athletic development and a stoic mindset.

6. Event Registration Policy

Participants in AncientFit events must be 18 or older; minors may attend only with a parent or immediate family member (siblings acceptable; friends not permitted).
Event payments are final; refunds are not guaranteed.
AncientFit is not responsible for no-show participants or travel-related issues.

7. T-Shirt Return & Replacement Policy

7.1 Damaged Items

User must email AncientFit with five high-quality photos of the damaged item and a description of the issue.
AncientFit will review the evidence and respond within three business days.
AncientFit retains full discretion to approve or deny returns if evidence lacks good faith ("bona fide").

7.2 Incorrect Sizing

The item must be returned within 48 hours of delivery.
The item must be unused, unworn, and undamaged.
AncientFit may refuse refunds or replacements if the item shows signs of wear, damage, or misuse.

8. Donation Policy

All donations are final and non-refundable. Users bear full responsibility for verifying donation amounts before submitting payment.

8.1 Cryptocurrency Donations

We accept certain cryptocurrencies (e.g., Bitcoin, Ethereum) via our designated wallet or payment processor. Cryptocurrency donations are treated as donations of property and not as a form of currency.
The fair market value of the cryptocurrency at the time of donation will be used to calculate the donation amount. This valuation is typically based on a reliable exchange rate.
Donors who itemize deductions may be eligible to deduct the fair market value of the cryptocurrency, subject to IRS rules.
For crypto gifts valued over a certain threshold (e.g., $5,000), additional IRS forms may be required (such as Form 8283), and a qualified appraisal could be necessary.
If we liquidate donated cryptocurrency (sell it for cash), we may be required to file certain IRS forms (such as Form 8282) when the sale is completed.
Crypto donations are irrevocable: once the donation is made to our wallet or processor, it cannot be refunded.
Donor acknowledgment: we will provide a receipt that describes the cryptocurrency donated; we may not state its value in the acknowledgment.
Due to the volatility of cryptocurrency's value, we may liquidate crypto donations promptly after receipt unless otherwise stated.
Donors should consult their tax advisor regarding the tax consequences of donating cryptocurrency. We do not provide tax advice, and crypto donations may entail special reporting requirements.

9. Cybersecurity Program Policy

AncientFit provides cybersecurity support exclusively to individuals participating in the Egyptian Community Programs, with the mission to:

Protect Egyptian scientists, students, and professionals from surveillance, harassment, digital abuse, or targeted harm
Build a global protective network for Egyptian scientific and academic communities
Assist with cybersecurity literacy and incident prevention
AncientFit reserves the right to determine eligibility for participation and may refuse service in cases of misconduct or security risk.

9.1 Data Use for the ESD/EDN Program

Users may voluntarily provide professional or academic information to verify eligibility. Data is used solely for program administration, communication, and risk mitigation. AncientFit does not sell or disclose information to third-party marketing entities. Users may request deletion in accordance with applicable laws.

10. Privacy and Data Use for Egypt History Defender (EHD)

Users who engage with EHD materials may provide academic or cultural information. Data is collected solely for program administration, ensuring accuracy and communication. AncientFit does not sell or trade EHD information. Users may request deletion in accordance with U.S., Colorado, GDPR, and other applicable international laws.

11. Privacy and Data Use for AncientFit Podcast

Listeners may provide information (emails, feedback, contributions) to improve podcast experience. Data is not shared with third-party marketing entities. Deletion requests are honored under U.S., Colorado, and international laws.

12. Intellectual Property

All website content—including code, text, images, logos, designs, videos, classes, and digital materials—is the exclusive property of AncientFit LLC. Users may not copy, reverse engineer, distribute, or misuse any intellectual property without written permission.

13. Disclaimer of Warranties

The Platform and all services are provided on an "as-is" and "as-available" basis. AncientFit makes no warranties regarding availability, reliability, accuracy, or fitness for a particular purpose.

14. Limitation of Liability

AncientFit is not liable for indirect, incidental, punitive, or consequential damages.
Users assume all risks associated with fitness activities, event participation, and cybersecurity training.
AncientFit's total liability will not exceed the amount paid by the user in the twelve months preceding the claim.

15. Governing Law

These Terms are governed by the laws of the State of Colorado, United States, without regard to conflict-of-law principles.

16. International Compliance Statement

AncientFit's Terms comply with U.S. (including Colorado), GDPR, UK, Australian, and Egyptian privacy laws. Users from these jurisdictions may exercise rights to access, correct, or delete personal information, and AncientFit will handle such requests per local law.

17. Changes to Terms

AncientFit may update these Terms at any time. Continued use of the Platform constitutes acceptance of the updated Terms.

19. AncientFit Coach Certification — Terms, Data & Conduct

19.1 Overview

The AncientFit Coach Certification Program ("Coach Program") is an in-person, professional qualification system offered in two progressive tiers — Level 1 and Level 2 — culminating in the AncientFit Circular Framework. The Coach Program is a paid service. Enrollment is subject to availability and AncientFit's sole discretion.

19.2 Eligibility & Prerequisites

Applicants must be at least 18 years of age.
A valid AncientFit ID (obtained through the RIVALBOARD) is mandatory for all course applications. Applications submitted without a valid AncientFit ID will not be processed.
Applicants must truthfully disclose their fitness background (Athlete, Trainer, or Coach) during the application process. Misrepresentation of qualifications constitutes a breach of these Terms and may result in immediate disqualification without refund.

19.3 Data Collected During Coach Certification Enrollment

When you apply for a Coach Certification course, AncientFit collects the following information:

Full legal name
Email address
AncientFit ID
Fitness background and professional role
Payment information (processed securely by Stripe, PayPal, or Egypt Visa payment partners — AncientFit does not store raw card data)

This data is used solely for enrollment administration, payment processing, scheduling, and certification issuance. It is not sold or disclosed to third-party marketing entities.

19.4 Payments & Refund Policy for Coach Courses

Course fees are published on the Coach Certification page and are subject to change without notice.
All payments are final. Refunds are not available for missed, canceled (by the applicant), or no-show sessions.
If AncientFit cancels a course, enrolled participants will be offered a full refund or transfer to a future date at AncientFit's discretion.
Payments are processed on the official pages of our payment partners (Stripe, PayPal, Egypt Visa). AncientFit is not liable for errors or delays caused by third-party payment processors.

19.5 Course Conduct & Certification Standards

Participants must attend all required in-person sessions. Partial attendance does not entitle a participant to certification.
AncientFit reserves the right to refuse or revoke certification for conduct that violates the AncientFit Ethos, including dishonesty, disrespect, or behavior incompatible with Egyptian and MENA cultural values upheld by the Program.
Certified coaches may not misrepresent their certification level or scope of qualification to clients or the public.
AncientFit Coach Certifications are non-transferable.

20. AncientFit Affiliate Program — Terms, Identity Verification & Data

20.1 Overview

The AncientFit Affiliate Program ("Affiliate Program") is an exclusive, paid opportunity open only to individuals who hold a valid AncientFit Level 1 Coach Certificate. The annual fee is $1,300 USD and includes affiliate certification, a marketing kit, and premium support. Enrollment is subject to AncientFit's sole approval.

20.2 Data Collected During Affiliate Enrollment

The Affiliate Program requires collection of significantly more personal data than standard services, including sensitive identity documentation. By applying, you expressly consent to the following data collection:

Full legal name
Email address
AncientFit ID
Current professional role (Personal Trainer, Fitness Coach, Gym Owner, etc.)
Physical handwritten signature and, where customary, personal seal (ختم)
Government-issued photo identification — National ID or Passport. This document is inspected in person by an authorized AncientFit Company Agent. AncientFit does not retain copies of government ID documents beyond what is necessary for identity verification, unless required by applicable law.
Payment information (processed by Stripe, PayPal, or Egypt Visa)
Monthly activity reports submitted via the Company portal

20.3 In-Person Identity Verification

The Affiliate Credential Certificate is issued only following in-person presentation of the signed Affiliate Agreement and original government-issued photo ID to a Company Agent. Digital signatures and copies are not accepted for this purpose. This requirement exists to protect the integrity of the AncientFit fellowship and is a condition of the Affiliate Agreement described as a sacred trust (أمانة).

20.4 Affiliate Agreement & Code of Conduct

By enrolling in the Affiliate Program, you enter into a legally binding Affiliate Agreement & Code of Conduct (Document: AF-AGA-2024-EGY), the key terms of which include:

Sole Opportunity Clause: The right to recruit for AncientFit Certifications is granted exclusively to active Affiliates and may not be delegated, sub-licensed, or transferred under any circumstance.
Ethical Representation: Affiliates must represent AncientFit with professionalism and in alignment with Egyptian and MENA cultural values at all times.
Brand Usage: Only official AncientFit logos, colors, and pre-approved marketing materials may be used. All promotional content reaching more than 500 views must be pre-approved by AncientFit. Affiliates must clearly disclose their affiliate relationship in all promotional materials.
Digital & Social Media: Affiliates must not engage in spam, deceptive marketing, or "black hat" SEO tactics. Client information may never be shared without the client's explicit written consent.
Monthly Reporting: Affiliates must submit brief activity reports via the Company portal by the 5th of each month.
Commission Structure: Level 1 Certification Referral — 15%; Level 2 Certification Referral — 20%; Group Referral Bonus (5 or more per quarter) — 25% on all qualifying referrals. Commissions are processed within 30 days of the referred candidate completing the course. Minimum payout threshold: $100 USD.
Term & Renewal: The Affiliate Agreement is valid for one year from credential issuance and requires annual fee payment and active compliance for renewal.
Grounds for Immediate Termination: Breach of the Sole Opportunity Clause, fraudulent activity, failure to maintain required AncientFit Box Gear after notice, violation of Egyptian law or public morals, or any action that damages AncientFit's reputation.

20.5 Affiliate Data Use & Retention

Affiliate data — including identity verification records, activity reports, and commission records — is retained for the duration of the Affiliate relationship and for a period of five (5) years thereafter, or as required by applicable law, whichever is longer. This retention period reflects our legal and financial reporting obligations. Former Affiliates may request deletion of data not subject to mandatory retention by contacting us at support@ancientfit.is.

21. RIVALBOARD — Competition Platform Terms, Data & Public Disclosure

21.1 Overview

The AncientFit RIVALBOARD ("RIVALBOARD") is a global fitness competition and athlete identity platform. It hosts competitive events including the AncientFit Memorial Fitness Parades (20 events) and the AncientFit Rival-Championship (Spring and Autumn Campaigns). The RIVALBOARD also serves as the source of all AncientFit IDs required for Coach and Affiliate Program enrollment.

21.2 AncientFit ID — Data Collected & Public Nature

Obtaining an AncientFit ID requires submission of the following personal information:

Full legal name (letters only)
Valid email address (used to deliver your ID and barcode)
Date of birth (used solely to verify you are at least 18 years of age; age is calculated at the time of registration)
Nationality (selected from a full country list)
Somatotype / Body Template (Ectomorphic, Mesomorphic, Endomorphic, Hybrid, or Not Sure) — this is optional but encouraged. Somatotype data is health-related information. By providing it, you consent to its use for competition stream categorization, leaderboard display, and matchmaking purposes. It is not used for any medical purpose.

Your AncientFit ID, once generated, is emailed to you with a unique barcode. Your ID and display name will appear publicly on the RIVALBOARD leaderboard. Do not use your full legal name as your display name if you do not wish it to be publicly visible.

21.3 The Scarab Ledger — Immutable Performance Records

By participating in any RIVALBOARD competition, you acknowledge and irrevocably agree to the following:

Your competition performance scores are recorded in the Scarab Ledger, which is described on the Platform as immutable, transparent, and permanent.
Your scores, results, qualification status, and year-by-year competition history are associated with your AncientFit ID and are publicly viewable on the RIVALBOARD.
Performance dedications (honoring named individuals — fallen heroes, family members, mentors) submitted during registration will be associated with your public competition record.
AncientFit does not offer deletion of performance records from the Scarab Ledger, as the immutability of competition records is a core feature of the platform. If you have a legal basis for requesting removal of specific personal data from competition records (e.g., GDPR Article 17), please contact us at support@ancientfit.is and we will assess your request on a case-by-case basis.

21.4 Competition Event Registration — Data & Conduct

When registering for a RIVALBOARD competition event, AncientFit collects:

Full name (must match government-issued photo ID presented at check-in)
AncientFit ID
Email address
Body template selection (for stream categorization)
Performance dedication (optional)
Payment information (Stripe, PayPal, or Egypt Visa)

At the event venue, you will be required to present a valid government-issued photo ID. Your name on your registration must exactly match your government ID. Late arrivals — less than 2 hours before Championship start — may be disqualified without refund.

By registering for a competition event, you consent to having your performance recorded and displayed publicly on the RIVALBOARD.

21.5 Championship Qualification & Eligibility

Entry to the AncientFit Rival-Championship (Spring and Autumn Campaigns, $500 USD per event) requires a minimum qualification score achieved through prior RIVALBOARD events.
AncientFit reserves the right to determine and modify qualification criteria at any time.
Registration fees for Championship events are non-refundable unless the Championship is officially canceled by AncientFit.

21.6 Spectator Tickets & Digital Collectibles

Spectator tickets (General Admission $50, Reserved Seating $100, VIP Experience $200, Family Pack $160) are sold for Championship events. All ticket sales are final and non-refundable unless the event is canceled.

Ticket purchasers receive a digital collectible — a unique, numbered digital asset associated with the specific championship and athlete template stream selected at purchase. These digital collectibles are issued as commemorative items only. AncientFit makes no representation as to their monetary value, transferability, or status under any securities or property law. Digital collectibles have no cash value and cannot be redeemed for money or services.

21.7 Hall of Kin — Public Leaderboard

The Hall of Kin displays athlete rankings organized by somatotype stream (Ectomorphic, Mesomorphic, Endomorphic) and by geographic region (Global Stream, Egypt Stream, International). By participating in RIVALBOARD competitions, you acknowledge that your ranking, score, and somatotype stream will be displayed in the Hall of Kin for as long as you hold an active competition record.

22. Schedule & Class Booking — Terms, Data & Health Disclaimer

22.1 Overview

The AncientFit Schedule page allows users to book individual fitness and nutrition sessions directly with AncientFit coaches. Three session types are currently offered:

Assessment Interview — An initial consultation session (Saturday–Tuesday, 1:00–2:00 PM)
Nutrition Class — Personalized nutritional guidance (Saturday–Tuesday, 8:30–9:30 AM)
Workout Manual Class — Personalized training programming (Saturday–Tuesday, 10:00–11:00 AM)

Each session is priced at $20 USD and is paid at the time of booking via Stripe or PayPal.

22.2 Data Collected During Class Booking

When booking a class, AncientFit collects the following:

Full name
Email address
Language preference (English or Egyptian Arabic) — used to assign an appropriate coach or conduct the session in the selected language
Session type and selected time slot
Payment information (processed by Stripe or PayPal)

This data is used solely for booking administration, session delivery, and payment processing. It is not sold, shared with third-party marketing entities, or used for any purpose unrelated to your booked session.

22.3 Mandatory Health Disclaimer & Acknowledgment

Before completing any class booking, users must read and acknowledge the following, which forms part of these Terms:

The fitness and nutrition guidance provided through AncientFit classes is intended solely for educational and general wellness purposes. It does not constitute medical advice, diagnosis, or treatment of any kind.
AncientFit programs are built on an organic, holistic approach to training and nutrition, designed to help individuals understand how to structure personalized workout routines and dietary strategies aligned with their unique fitness goals.
You must consult with a qualified healthcare professional before starting any fitness or nutrition program. By completing a booking, you confirm that you have read this disclaimer and accept full responsibility for consulting appropriate medical professionals.
AncientFit coaches are not licensed medical practitioners, dietitians, or therapists. Nothing communicated in a session should be interpreted as a substitute for professional medical or dietary advice.
AncientFit is not liable for any injury, illness, adverse reaction, or other harm arising from your participation in, or application of, any information received during a class session.

22.4 Class Payments & No-Show Policy

All class payments are final at the time of booking. Refunds are not provided for missed sessions, cancellations initiated by the user, or no-shows.
If AncientFit cancels a scheduled session, the user will be offered a reschedule or full refund at AncientFit's discretion.

22.5 Session Conduct

Sessions may be conducted via Zoom or equivalent video platform. By booking, you consent to the use of such platforms for session delivery.
Sessions are private between the coach and the booked participant. Recording of sessions by the participant is not permitted without prior written consent from AncientFit.
AncientFit coaches may decline to continue a session if the participant behaves in a disrespectful, disruptive, or inappropriate manner. No refund will be issued in such cases.

23. Payment Processing — Third-Party Partners

AncientFit uses the following third-party payment processors across all services described in Sections 19–22 and throughout the Platform. By making any payment on the Platform, you agree to the applicable terms and privacy policies of these processors:

Stripe — stripe.com. Processes credit/debit card payments globally. Stripe's privacy policy is available at stripe.com/privacy.
PayPal — paypal.com. Processes PayPal account payments globally. PayPal's privacy policy is available at paypal.com/privacy.
Egypt Visa (Meeza, Visa, Mastercard via Egyptian banks) — accepts cards issued by Egyptian banking institutions. Payments are processed through Egypt Visa's secure payment gateway. Users are subject to the terms of their issuing bank in addition to AncientFit's Terms.

AncientFit does not store, access, or process raw payment card data. All card transactions are handled directly by our payment partners on their secure, PCI-DSS compliant platforms. AncientFit receives only a payment confirmation and transaction reference from these processors.

24. Public Display of Personal Data — Your Explicit Acknowledgment

Certain features of the Platform result in your personal data being displayed publicly. By using these features, you explicitly acknowledge and consent to the following public disclosures:

RIVALBOARD & Hall of Kin: Your AncientFit ID, display name, somatotype stream, competition scores, qualification status, and year-by-year performance history are publicly visible to all RIVALBOARD users worldwide.
Scarab Ledger: Your competition results are recorded as a permanent, immutable public record associated with your AncientFit ID.
Performance Dedications: Any dedication you submit (e.g., honoring a named individual) during event registration becomes part of your public competition record.
Affiliate Status: Active AncientFit Affiliates may be listed in official AncientFit communications and materials as representing the Program.

If you do not wish your name, performance, or somatotype data to be publicly associated with your competition record, you should not register for RIVALBOARD competitions.

25. Health-Related Data — Somatotype & Body Template Information

AncientFit collects somatotype (body template) data — Ectomorphic, Mesomorphic, Endomorphic, Hybrid, or Not Sure — from users who provide it voluntarily during AncientFit ID registration and class booking. This data is classified as health-related personal information under applicable privacy laws including GDPR.

Purpose: Somatotype data is used exclusively for competition stream categorization on the RIVALBOARD, personalized class and coaching recommendations, and aggregate (anonymized) research into training effectiveness across body types. It is not used for medical diagnosis, insurance purposes, or any purpose beyond platform functionality.
Legal basis (GDPR): Processing of somatotype data is based on your explicit consent given at the time of submission (Article 9(2)(a) GDPR). You may withdraw this consent at any time by contacting support@ancientfit.is, subject to the limitation that withdrawal does not affect data already incorporated into immutable competition records (Scarab Ledger).
Disclosure: Somatotype data is disclosed publicly on the RIVALBOARD as part of your stream categorization. It is not disclosed to third parties for commercial purposes.
AncientFit does not use somatotype or fitness data to make automated decisions that have legal or similarly significant effects on any individual.

26. Fitness & Nutrition Content — Educational Scope & Limitations

All fitness and nutrition content provided through AncientFit classes, courses, the RIVALBOARD, and all other Platform services is governed by the following scope and limitations, which apply Platform-wide and supplement any specific disclaimer presented at booking:

AncientFit's educational philosophy is rooted in ancestral, holistic wellness principles aligned with circadian biology, metabolic flexibility, functional movement, and nutrient-dense whole foods. This philosophy is provided for educational purposes and personal reflection, not as clinical guidance.
AncientFit expressly rejects liability for any outcome resulting from the application of information received through the Platform, including but not limited to injury, metabolic change, or dietary reaction.
The AncientFit Circular Framework (five modules: Body Type, Nutrition, Movement, Psychology, Sleep) is a structured educational model, not a medically validated treatment protocol.
Users with pre-existing medical conditions, pregnancy, or any health concern that may be affected by exercise or dietary change must seek medical clearance before engaging in any AncientFit program.
AncientFit makes no guarantee of specific fitness or health outcomes. Individual results will vary based on personal effort, consistency, genetics, and other factors beyond AncientFit's control.

27. Multi-Language Access & Binding Language

AncientFit provides these Terms & Privacy Policy in both English and Arabic to serve our global and Egyptian community. In the event of any conflict, ambiguity, or inconsistency between the English and Arabic versions of these Terms, the English version shall control and be deemed the authoritative legal text. The Arabic translation is provided as a courtesy to aid comprehension and does not constitute an independent legal document.

The Schedule page additionally offers session delivery in Egyptian Arabic. Language preference selected at booking is a service delivery preference only and does not alter the governing language of these Terms.
